This article is intended for administrators.
We invite you to start your reading with :
- our article on skills vocabulary + the article you're currently reading,
- then the article dedicated to matrix creation: Skills matrix: Managing matrices
- and finally the article dedicated to skills assessment, its objectives and benefits: Why should you evaluate skills, and for what purpose?
📂 Skills
Skills are made up of several levels, each with its own expectations. They are then used to form a skills matrix. To find out more about skills matrices, see the associated documentation: Skills matrix: Managing matrices
The skills library is accessible only to administrators, and enables you to view existing skills, modify, create or delete them, group them into domains and manage the associated levels and expectations.
How skills domains function is described later in this article.
➕ Create a skill
In the "Skills" product, click on the "Matrices and skills" tab, then on "Skills library",
On the right-hand side of the screen, click on "Create a skill",
- Enter the skill title (Example: "Project Management"). The title of each skill must be unique.
- Optional: If you wish to associate this skill with an existing skill domain, select it from the drop-down menu. If you wish to associate the skill with a new domain, you must first create this domain in the skills library (see ➕ Create a skills domain).
- Then enter the different levels associated with this skill (Example: Junior, Intermediate and Senior). Up to 10 levels can be added.
💡 Note: If this skill has no level, you can put "Generic" for example.
- Click on "Create the skill" to be redirected to the skill in question where you can complete the associated expectations.
🎨 Modify a skill
- In the "Skills" product, click on the "Matrices and skills" tab, then on "Skills library",
- Click on the title of a skill,
- It will then be possible to modify its title, the associated domain (optional) as well as levels and expectations.
💡 Note : It is possible to dissociate the skill from the associated domain by clicking on the cross to the right of the domain label. If this skill domain has already been added to a matrix, the skill will be removed from this matrix.
❌ Delete a skill
- In the "Skills" product, click on the "Matrices and skills" tab, then on "Skills library",
- Click on the "Trash" icon 🗑️ at the end of the line to delete the skill in question.
⚠️ Warning : If one or more employees are attached to this skill, a modal will inform you of the consequences of the deletion. In effect, the skill will no longer be visible in the associated matrices, and will no longer be used to evaluate employees.
🔧 Manage skill levels and associated expectations
➕ Add a level
- In the "Skills" product, click on the "Matrices and skills" tab, then on "Skills library",
- Select the relevant skill by clicking on its title,
- To create a new level, click on the "➕" between two columns.
💡Note : A maximum of 10 levels can be associated with a skill.
✍🏽 Modify level titles and expectations
Simply click on the corresponding field and enter the desired content.
If the skill is shared by several matrices, this will be indicated under the level "This expectation is shared by X matrices. Any changes you make will be reflected in these skills matrices."
❌ Delete a level
You can delete a level by clicking on the "trash" icon 🗑️ at the end of the line.
If one or more employees are attached to this level, a modal will inform you of the consequences of deleting it. In fact, this action will remove all expectations associated with this level in the skills matrices where it has been used to assess employees.
📂 Skills domain
Skills domains can be used to group together several skills to facilitate their management and analysis.
➕ Create a skills domain
- In the "Skills" product, click on the "Matrices and skills" tab, then on "Skills library",
- On the right-hand side of the screen, click on "Create a domain",
- Enter the domain title (Example: "Values"),
- Optional: If you wish to associate skills with this domain, select them from the drop-down menu. By default, only unassigned skills will be shown.
- Click on "Create the domain".
💡 Note : A skill can only be associated with one domain at a time.
🎨 Modify a skills domain
- In the "Skills" product, click on the "Matrices and skills" tab, then on "Skills library",
- Click on a domain title,
- You will then be able to modify its title, as well as the skills associated with the domain.
❌ Delete a skill domain
Deleting a domain only deletes the entity that groups the skills, not the skills themselves.
- In the "Skills" product, click on the "Matrices and skills" tab, then on "Skills library",
- Click on a domain title,
- Click on "Delete the domain",
Confirm the deletion by checking the box and clicking "Delete the domain" again.
⚠️ Warning : If you have added this skill domain to matrices, then once deleted, this domain and the associated skills will be removed from the matrix concerned.
🙋🏻♂️ Questions
➡️ If I add a skill to an domain that is already in a matrix, is this skill automatically added to the matrix?
Yes, the skill will be added directly to the matrix that already includes that domain.
➡️ What happens if I remove a skill from a domain?
The skill will be automatically removed from all matrices where it has been added thanks to the domain.
➡️ What happens if I add a skill domain to a matrix already containing a skill from the domain?
The domain is added and the skill will be grouped in the domain in question.
➡️ What happens if I associate skills already present in a matrix with a domain that I don't add to the matrix?
The skills remain as they are in the matrix, the domain is not added.
➡️ If I indicate in the review that I can't/can't assess the domain, can the skills in the domain still be assessed?
Skill and domain ratings are independent, so I can assess the skills individually and not assess the domain as a whole, and vice versa.
